2012 Annual PCA Membership Meeting Announced

The following letter was mailed to all the members of the Pineloch Community Association.

Dear Neighbors,

The 2012 Annual Membership Meeting of the Pineloch Community Association will be held on Thursday, May 31, 2012 in the cafeteria at Ward Elementary School, 1440 Bouldercrest Drive.  Registration will begin at 7:00 p.m., with the meeting scheduled for 7:30 p.m.  The purpose of the meeting is to hold elections for positions on the Association's Board of Directors and to provide an update on Association activities.

The Association is governed by a five member volunteer Board of Directors.  Each Director serves a two-year term, with three positions up for election in odd numbered years, and two in even numbered years.  Terms are expiring for two positions.  Incumbent John Landers is running for re-election.

A quorum of 10% of the membership present in person or by proxy will be required in order to conduct business at this meeting.  Your participation is vital.  A proxy form/absentee ballot is enclosed for those who will be unable to attend.  The proxy/absentee ballot provides you with three options:

  1. Quorum Only: You may choose to mark your proxy for quorum purposes only.  Proxies marked in this fashion will be accepted, however, we strongly urge each of you to exercise your right to a vote.
  2. General Powers: you may designate a representative who will cast your vote at his/her discretion.
  3. Limited Powers (absentee ballot): you may cast your vote as if you were at the meeting, with voting instructions marked on the form.

Please choose only one of the three options.

As a reminder, the representative designated on your proxy must be present at the meeting in order to cast your vote.  Proxies may not be transferred to another (second) representative except by completion of a new proxy form designating the new representative and signed by the Association member for whom the vote will be cast.  Duplicate proxies for the same address will be validated based on the date signed, with the most recent proxy prevailing.  If no representative is designated, the proxy will be assigned to the Board of Directors.

Proxies are required to be notarized.  Notary services are available free of charge at CMSI, or at the May 19th pool tag pickup at the Mabry Mill pool.  Additional notary services are typically available at area banks, title companies, and insurance agencies.

If you are unable to attend, please complete the enclosed proxy and return it prior to the meeting.  Completed proxies may be mailed to the CMSI offices at 2625 Bay Area Blvd., Suite 120 Houston, 77058.  There is a mail slot to the right of the outside (2615) door for after hours drop offs if needed.  Again, we encourage everyone to attend.  Refreshments and door prizes will be available.
